Why you're hearing from us
If we wrote to your organisation, this is why, what we hold, and how to make it stop with one reply.
Last updated .
A note on these dates. These policies were drafted before VOCABOTICS LTD was incorporated on 20 August 2026, and until 25 August 2026 they carried dates that predated the company they name as the contracting party and data controller. They were re-dated on that day, when the entity details on them were re-checked against the incorporation record. Nothing about the substance changed with the date; we are telling you because the old dates were not possible.
The short version
We read something public about your organisation (a funding announcement, a grant, a filing, a job advertisement or your own website) that suggested our help might be useful. We wrote once, to an address your organisation publishes, about a business matter. Reply “no thanks” and we will never contact you again.
Who we are
“vocabotics” is the trading name of VOCABOTICS LTD, a company registered in England and Wales under company number 17412438, whose registered office is 128 City Road, London, EC1V 2NX, United Kingdom. We are a small AI and software studio: we help businesses, charities and funded teams with AI tools and software, delivered in fixed milestones. You can reach us at jon@vocabotics.com.
What we hold
Organisation-level business information only:
- your organisation’s name and website;
- public facts such as funding, grants, filings or job advertisements;
- the contact route your organisation publishes (for example a general inbox or form);
- our notes about any conversation we have with you.
We don’t buy personal data, guess individual email addresses or collect personal phone numbers.
Where it came from
Public sources such as company registers, government grant and contract databases, public filings, news publishers, public job boards and your own website. Our first message says which source we used.
Our lawful basis
We are registered with the Information Commissioner’s Office as a data controller (registration number ZC241179). Legitimate interests (Article 6(1)(f) of the UK GDPR and EU GDPR): offering relevant services to organisations. We have written down the balancing test behind this, and you can ask us for a copy.
How long we keep it
If we don’t hear back, we delete our notes about your organisation within 12 months of our last contact.
Your choices
- Stop hearing from us — reply “no thanks” (or anything similar). We keep your domain on a suppression list for that purpose only, so we never write again.
- Ask what we hold, or ask us to delete it — email privacy@vocabotics.com at any time.
- Complain — to the Information Commissioner’s Office (ico.org.uk) or your local data protection authority.
Our full privacy policy covers everything else, including the rights you have over any personal data.
